Client Partner Privacy Policy

1. Information Used to Handle Requests
StormGrade records caller contact details, addresses, damage descriptions, call summaries, uploaded photos and dispatch activity to help restoration companies handle service requests. Call transcripts and recording references may also be stored when supplied by the configured voice service. Technician records include contact details, availability and location updates used for dispatch. Retell processes voice; Twilio supplies phone numbers, texts and notification calls; Supabase provides authentication and record storage; Inngest coordinates dispatch; Resend sends service emails. Voice provider terms permit certain uses of de-identified, aggregated data to improve their services. Provider settings and the restoration company's data responsibilities must be reviewed before live use.
2. Incident Telephony & Homeowner Security
Homeowner tracking and photo links contain private access tokens. Anyone holding a valid link can use its permitted functions, so keep it private. Links are reusable until they expire or are revoked; they are not single-use. New incident links normally have a thirty-day access window, which may be extended when a technician arrives. Cancellation disables incident access. Homeowner responses include selected job details rather than the internal dispatch audit. Link expiry does not delete the underlying job records.
3. Retention & Disposal
Job records, photos, booking history and dispatch evidence may be retained for service administration and documentation. StormGrade does not currently provide an automatic purge of incident records or call recordings. Provider retention settings are being prepared for review and are not yet a verified deletion commitment. Before live use, agree the retention period and a deletion process with StormGrade, including provider copies and backups. Link expiry does not erase records. For access, correction or removal requests, contact the restoration company handling your job or info@stormgrade.org. Requests need identity and account checks; this notice does not promise instant removal of every copy.
5. Message Permissions & Electronic Records
Registration records the version of the terms and privacy notice acknowledged, the electronic-records choice and a server timestamp. It does not establish verified identity or permission to send recurring texts. Technician permission records identify the owner who confirmed separately retained written permission, the number, the terms version, an evidence reference and a server timestamp. We also keep provider opt-out and resubscription events. These records must not be represented as consent obtained directly from the recipient.
Dispatch texts concern service requests and job updates. The SMS terms explain frequency, HELP and STOP. Message permission must not be sold or used to enroll recipients in unrelated marketing. Provider processing, required disclosures and permission retention must be reviewed before live use.
4. Consultation Bookings
Consultations are booked on our Cal.com booking page. The details you enter there (name, email, company and chosen time) are handled by Cal.com under its own privacy policy and shared with StormGrade so we can hold the conversation.
